Contemporary Garden Lawn and Arbour
Adjacent to the Food Garden & Physic Garden - the Arbour makes for a stunning procession! Our most popular venue surrounded by beautiful greenery
Capacity: up to 250 people
Cost: $1000 (4 hrs), $1800 (8 hrs)

Roseline Sturdy Amphitheatre
Stunning outdoor amphitheatre with incredible acoustics Capacity: up to 225 people
Cost: $1000 (4 hrs), $1800 (8 hrs)

Main Lawn
Expansive lawn area, perfect for large weddings
Capacity: up to 500 people
Cost: $12/per person (8 hrs, min. charge $3000)

Nitobe Memorial Garden
Traditional tea and stroll garden, considered to be among the top Japanese gardens outside of Japan
Capacity: up to 25 people
Cost: $1200 + tax (2 hours - available for wedding ceremonies only) Availability: 5 p.m. - 7 p.m. daily for exclusive use of the wedding party

Golf Cart - available to transport guest within the Garden. Based on availability. Our staff must drive.

Garden Pavilion - This quaint building can be added to any outdoor location on the north side of the Garden. (Cannot be booked separately weekends May - Sept.)
Included Equipment: 34 chairs, 10 square tables
Capacity: up to 50 people
Cost: $325 (4 hrs), $600 (8 hrs), available for meetings and seminars as a standalone rental outside of weekends in wedding season

The Fine Print

Scheduling - Rentals are scheduled in two 4-hour time slots for all sites with the exception of Nitobe Memorial Garden, and the Main Lawn. Sites may be available for extended booking starting at 8am to midnight at an hourly rate of $200/hour. Slot 1: 10 a.m. - 2 p.m., Slot 2: 4 p.m. - 8 p.m.

Included Extras - All wedding rental packages include use of the garden for wedding photos on the day of the event and a one year basic garden membership for the couple as a sign of appreciation for selecting us for your special day.

Fees - $35/hour concierge fee for all wedding venue rentals (4 hour minimum). By law, we collect a fee for the Society of Composers, Authors and Music Publishers of Canada (SOCAN) based on the size and usage of the site booked. A $200 refundable damage deposit will be applied to all bookings. Additional hardware and staff assistance may be available at an additional rate. All costs are plus applicable taxes. Discounts for Multiple Bookings - When you book more than one facility on the same day a 25% discount is applied to the lower-priced facility.

Holds - A booking will be held without deposit for up to 2 weeks. This does not guarantee your date. We will attempt to reach you if another party shows interest. 24 hours will be given to secure the booking by submitting a deposit.

Deposits - Your booking will not be confirmed until we receive a signed contract and a booking deposit of 50% of the total cost of your booking plus your damage deposit. The full balance of your contract is due one month before your event to maintain your booking.
 
Cancellations - You may cancel your booking at any time. We will withhold an administration fee based on the lead time of your cancellation. This fee is $250 if cancelled over six months before your event and $500 if cancelled less than six months before your event. Your deposit will be forfeited with under one month’s notice. A date change can be accommodated without penalty if available.

Violations - UBC reserves the rights to inspect events and shut them down if a violation of the contract terms or any applicable laws are found. The client will still be responsible for any outstanding fees.

Exclusivity - UBC Botanical Garden and Nitobe Memorial Garden are public spaces for the enjoyment of all visitors. As such we do not close the garden to the public during weddings. Site rentals provide exclusive use of only the booked venue. Washroom facilities are shared with public visitors and renters of other Garden venues.

Decorations and Setup - You are welcome to decorate your site and will generally be able to access the site for decoration one hour before your time slot. Full access to the site may not be possible before your time slot. Decorations must be taken down within one hour of the end of your rental so as to not infringe on subsequent guests.  Strewn objects such as rice, flower petals or confetti are prohibited. Flames (including candles) and cooking of any kind are prohibited in all indoor spaces. Candles must be enclosed in outdoor spaces. No items may be affixed to any structure without prior consent. Use of nails, tape, glue or staples is strictly prohibited. Failure to comply will result in the forfeiture of your damage deposit.

Catering - Wescadia (wescadia.ubc.ca) is our preferred partner and is the catering company most familiar with our venues. However, you may contract with any caterer. For all venues, with the exception of the Reception Centre, you must secure your own liquor licence. Our booking coordinator can explain the simple process to obtain a licence for your event.
